Education Requirements:  Computer and office skills normally acquired through the completion of two-year post high school education or on the job experience.

Position Summary: Maintain project work codes and budgets, provide technical and administrative support to Project Managers, generate and distribute cost reports, monitor compliance with established corporate Best Practices, assist with travel coordinating.

Essential Job Functions 

  1. Acts as an agent for Project Managers by contacting different departments to obtain job specific information, perform cost adjustments, etc.
  2. Provides administrative support to Project Managers by typing correspondence, drafting/proofing memos and letters, coordinating various project-related meetings, assisting with submittals, copying and distributing plans and specs, administering weekly site management forms, filing, etc. 
  3. Enforces company policy regarding relevant costs and charges while compiling personal and company visa expense reports for Project Managers.  Submits to Accounts Payable for reimbursement and/or payment.
  4. Maintains Operations information in JD Edwards, which includes maintaining job work code lists, setting up new projects, entering budgets, budget revisions, change orders, and project production quantities. 
  5. Processes and distributes daily/weekly/monthly cost reports to designated jobsite personnel, project managers and executives. 
  6. Maintains necessary confidential information, which includes all cost reports.
  7. Maintains Outlook and Intranet project information and updates project personnel and project progress weekly for each active project.
  8. Monitors compliance and assists with coordination and set up of established corporate project meetings. 
  9. Oversees warranty repair work.  Documents warranty claims and ensures all required documents are fully executed between BEI and the project owner for each claim.
  10. Coordinates travel arrangements (flight, hotel, car rental, etc.) for Project Managers.
  11. Serves as a backup to other Project Manager Assistants and the Travel Planner.

Additional Job Functions

  1. Conducts the Operations portion of orientation with new hires.
  2. Maintains and updates the master work code listing.
  3. Serves as a JD Edwards Cost to Complete point of contact.
  4. Manage corporate cell phones by maintaining the accounts, billing, ordering, replacing, and activating devices.
  5. Performs additional assignments per Project Manager’ and/or supervisor’s direction.

Knowledge, Skills and Abilities

  • Excellent written and oral communication skills.
  • Ability to organize and prioritize work.     
  • Strong multi-tasking and troubleshooting skills.
  • High attention to detail.
  • Proficient computer skills in Microsoft Office (Word, Excel, PP, Outlook) and Adobe.
  • Experience with JD Edwards desired but not required.
