Education Requirements: Knowledge of office procedures, office equipment and computer software normally gained through three years of business school and/or on-the-job experience.              

Position Summary: Primary responsibility is to provide administrative assistance to the Quality Systems staff.  This includes assisting with creation, maintenance, facilitation, and administration of Quality Systems and the Quality Program throughout the organization.

Essential Job Functions

  1. Collaborate with multiple individuals from project and corporate management in the design, creation, and administration of Quality Systems documentation.
  2. Provide support to various individuals with a focus on building relationships that will enable quickly resolving issues and solving problems.
  3. Interact with internal and external clients, subcontractors, and outside vendors in a positive and professional manner.
  4. Coordinate Quality System implementation efforts with projects and corporate office by fostering a positive and team-oriented approach.
  5. Maintain schedules, trackers and databases to measure the application of Quality Systems processes and practices.  To include, but not limited to Quality Metric reporting, and Weekly Nonconformance Reports.
  6. Provide support for Quality Forms development, creation, testing, and finalization in an electronic format.  Paper based versions maintained, as required.
  7. Serve as main point of contact in maintaining and organizing Quality Systems materials. 
  8. Aides in the assembly of the Quality Systems content for the Quality newsletter.
  9. Formalize and communicate Quality Systems through development of distribution media including manuals, Intranet content, videos, and PowerPoint presentations. 
  10. Maintain video and photo documents for assembly into training programs.
  11. Provide end user support, maintaining a log of recommendations and issues relating to Quality Systems initiatives, while closely monitoring progress to ensure timely resolution.

 

Additional Job Functions

  1. Perform additional assignments per supervisor’s direction.
  2. Identify opportunities for streamlining work and reducing waste in order to improve efficiency.

Knowledge, Skills and Abilities

  • Excellent oral communication and collaboration skills. 
  • Advanced written communication skills.  Technical writing skills preferred.
  • Ability to proof documents for punctuation and grammar.
  • Ability to build rapport with field and corporate personnel.
  • Ability to work in a dynamic team based environment.
  • Self-starter with willingness to organize and prioritize tasks and goals with limited supervision.
  • Ability to multi-task and provide attention to detail.
  • Proficient with MS Word, MS Excel, and Outlook.
  • Knowledge of MS Visio, MS Publisher, MS Access, MS PowerPoint, and Adobe Acrobat.
  • Experience with InDesign, Illustrator and SSRS Reporting  is preferred, but not required.
