Education Requirements: Computer and office skills normally acquired through the completion of two-year post high school degree and/or on-the-job experience. 

Experience: Minimum 2 years related office experience.

Position Summary: Assist the Estimating department with clients, subcontractors, vendors, suppliers, and internal requests in regards to quotes, bid planning, reporting, and administrative assignments. 

Essential Job Functions

  1. Solicit quotes from subcontractors and material suppliers by preparing the following: RFPs, making phone calls, e-mailing and advertising.  Return calls from the subs/suppliers to answer questions or bid results.
  2. Solicit quotes by utilizing SmartBid software.
  3. Download owner received RFP documents and monitor additional information uploaded by owner.  Copy and distribute plan documents.
  4. Aggressively assist bid teams with planning and scheduling pre-bid meetings, bid planning and bid file set up and completion. 
  5. Set-up bids using HCSS and Excel software programs. (Enter all necessary information into the software by importing, typing, or downloading information.) 
  6. Maintain bid calendar and distribute to project managers, estimators, etc. 
  7. Maintain document with contacts and expected quotes in each bidding folder for all estimating team member's knowledge. Teach the estimators about returning bidding info and how they can retrieve the information. 
  8. Send "decline letters" when necessary to an owner when we have decided not to bid their project.
  9. Provide Senior Estimator with bid statistics (hit rates, monthly, quarterly, and yearly) and projects pending reports for executive review. 
  10. Review and handle Vendor Submissions as they are submitted through the SmartBid. 
  11. Order bid bonds and any specialty requirements for the bid i.e. pre-qualifications, permits, licenses, insurance, separate archive bids, which includes retrieving the bid book from estimator(s), enter subcontractor and supplier information into database, organize, bind and file bid book. 
  12. Make sure purchases are coded and handled properly for monthly statement reconciling. 
  13. Actively offer assistance to bid team for additional duties.   


Other Job Functions

  • Maintain backlog report on a weekly basis and track bid results and bid opportunities in CRM software.
  • Research labor statistics in areas we are bidding, including unemployment rates, available workforce and local wage rates for each trade. 
  • Collaborate with Marketing/Business Development when preparing unique proposal requests.
  • Identify opportunities for streamlining work and reducing waste in order to improve efficiency.
