Education Requirements: Reading, writing, arithmetic and communication skills normally acquired through the completion of high school.          


Experience: 2-4 years of related experience.  Exposure to tax laws, union requirements, overtime laws, and all other payroll regulations for multi-state payroll is preferred.


Position Summary: Perform all required duties necessary to prepare and process hourly and salary field payroll for two companies in multiple state locations including union and prevailing wage work. 


Essential Job Functions

  1. Process the weekly construction site payroll, which includes regular and overtime wages, running payroll reports, printing paychecks, automatic deposits, payroll journal entries and running a separate payroll for terminated employees based on state specifics and union laws.
  2. Post payroll and help with the distribution of paychecks to various jobsite locations.  Communicate with other departments regarding the status of the payroll. 
  3. Administer different payroll software systems to include troubleshooting and testing updates/fixes.  Makes recommendations for new software and implementations when appropriate.
  4. Assists with all training for the Payroll Assistant I.
  5. Send ACH payroll files to corporate bank for positive pay and direct deposits.
  6. Enter and process income withholding orders.
  7. Contact construction sites to inquire about missing or incomplete paper work.  Return incomplete forms back to the jobsite/ supervisor to be completed. 
  8. Set up per diem payments for field employees and sends vouchers to Accounts Payable.
  9. Responsible for training new projects (i.e. Kick Off Meetings) or job site personnel on the payroll processes.
  10. Assist with any New Hires, Rehire/Transfers, separations and wage changes when needed.
  11. Respond to inquiries from employees, agencies, jobsites, and union halls. Provide written employment verifications to agencies when requested.
  12. Verify and edit employee information in the payroll database and make adjustments for errors. Inquire into discrepancies.
  13. Assists the Payroll Supervisor and Payroll Manager with any other payroll items.
  14. Provide backup for Payroll Assistants I and II.
  15. Assist with new assignments payroll acquire through the year.


Additional Job Functions

  1. Provide backup assistance, training, and maintain overall payroll knowledge to be able to assist others within the department.   
  2. Identifies opportunities for streamlining work and reducing waste in order to improve efficiency.
  3. Assist with new assignments payroll acquire through the year.
  4. Work with Software Consultants on Software issues and upgrades.


Knowledge, Skills and Abilities

  • Knowledge of payroll regulations for multi-state payroll.
  • Ability to be discrete and handle confidential matters.
  • Must be proficient at data entry and detail oriented with ability to follow through with assignment.
  • Proficient in Microsoft Office (i.e. Word, Excel, and Outlook, and Payroll Software System.
  • Effective oral and written communication skills.
  • Knowledge of federal and state tax regulations.
  • Team player to work with all departments in the company and with all jobsites.
  • Ability to prioritize to work with many deadlines.
